Privacy Notice

This notice explains how workplaceanalytics.design, operating Interview-Prep-Pal (interview-prep-pal.live), handles personal data. We are the data controller for the data described here — we decide why and how it is processed.

1. Data we collect and why

  • Account data (email, display name, sign-in identifiers, authentication tokens) — to create and secure your account. Legal basis: performance of our contract.
  • Interview content (company URLs you submit, job descriptions, questions, your answers, transcripts, scores and feedback) — to deliver the Service and your progress history. Legal basis: performance of our contract.
  • AI provider keys (BYOK) — stored encrypted at rest and used only to call the provider you selected on your behalf. Legal basis: performance of our contract.
  • Usage and billing records (AI token counts, estimated costs, wallet balance, subscription status, receipts) — to meter usage and support billing. Legal basis: contract and legal obligation.
  • Technical data (IP address, device and browser information, log and error data, aggregate analytics) — for security, fraud prevention, diagnostics and product improvement. Legal basis: legitimate interests.
  • Support messages you send us — to answer you. Legal basis: legitimate interests.

Payment card details are collected and processed by Stripe, not by us; we never see or store full card numbers.

2. Voice and audio

If you use spoken answers, audio is captured in your browser and sent to our transcription endpoint to produce text. Audio is processed transiently for transcription and is not retained as a stored recording; the resulting transcript is saved with your session.

3. Who we share data with

  • Hosting and database/auth infrastructure — to run the application.
  • AI model providers (the provider you select with BYOK, or our managed AI gateway) — prompts and answers are sent to generate questions, grading and feedback.
  • Stripe, our payment processor — for checkout, subscription management, invoicing, tax calculation and fraud prevention.
  • Professional advisers (legal, accounting) where necessary.
  • Authorities where required by law.

We do not sell your personal data.

4. International transfers

Our providers may process data outside your country, including in the EEA, UK, US and India. Where required, transfers rely on appropriate safeguards such as standard contractual clauses or adequacy decisions.

5. Retention

Account and interview data are kept while your account is active and for up to 12 months after it is closed, then deleted or anonymised. Billing and tax records are kept as long as legally required. Encrypted AI keys are deleted as soon as you remove them.

6. Your rights

Subject to applicable law you may request access, correction, deletion, restriction, portability, or object to processing, and withdraw consent where processing relies on it. Email admin@interview-prep-pal.live and we will respond within one month. If you are in the UK/EEA you may also complain to your supervisory authority.

7. Security

We use appropriate technical and organisational measures, including encryption in transit, encryption at rest for AI provider keys, row-level access controls scoped to your account, and restricted administrative access. No system is perfectly secure, so we cannot guarantee absolute security.

8. Cookies and similar technologies

We use strictly necessary cookies and browser local storage to keep you signed in and remember your theme preference, plus privacy-friendly aggregate analytics to understand site usage. We do not use advertising cookies. You can clear or block cookies in your browser, though sign-in will stop working.
